Privacy Policy

The short version. We collect only what we need to run your association's website. We never sell personal information, never show ads, and never use owners' information for marketing. The free check runs entirely in your browser; nothing you enter is sent to us.
1. Who we are
Condo Notice Board is a business name of Fulcrum Enterprises LLC, a Florida limited liability company. Mailing address: PO Box 24, Floral City, FL 34436. Email: [email protected].
This policy covers condonoticeboard.com, the free check, the board login at app.condonoticeboard.com, and each association website we host.
2. Two roles
- For our own customers (associations and their board members), we decide how information is used, as described here.
- For information on an association's website (owners' names, logins and the association's documents), we act on the association's behalf. The association decides what is posted and who gets access. Owners with questions about their information should contact their association's board first; we will help the board respond.
3. What we collect
Visitors to condonoticeboard.com and the free check
- Your answers in the free check stay in your browser and are not sent to us.
- We count visits with privacy-friendly analytics that use no cookies and do not identify you (pages viewed, approximate country, browser type).
- If you arrive by scanning a postcard, the link carries a short code that tells us which mailing the card came from. It identifies the card, not you.
- If you contact us, we keep your message and contact details to reply.
Associations and board members
- The association's name and address, and each board user's name, email address and role.
- Billing records: invoices and payment status. Card and bank payments are handled by our payment processor; we do not see or store full card or bank account numbers.
- A record of what each board user posts and when.
Owners and others using an association's website
- When an owner asks for a login: name, unit number and email address.
- Login details. Passwords are stored in a protected (hashed) form; we cannot read them.
- Basic security records, such as sign-in times and the device's internet address, kept to protect accounts.
Documents
- The files the association uploads. These may contain personal information if the association does not remove it before posting; Florida law makes removing it the association's duty (section 718.111(12)(c)).
4. How we use it
- To run the association's website: show documents to the right people, send logins, and send reminders the board asks for.
- To bill the association and answer questions.
- To keep the service secure and fix problems.
We do not sell personal information. We do not use it for advertising. We never use owners' information, including email addresses, to market anything, including our own services. Florida law limits owners' email addresses to the association's business (section 718.111(12)(a)7), and we follow that rule.
5. Who we share it with
- Service providers that help us run the service, such as hosting and file storage, email delivery and payment processing. They may use the information only to provide their service to us.
- The association. Board users can see the owner login list and the posting record for their own association.
- When the law requires it, for example a valid subpoena or court order. Where allowed, we tell the association first.
- If the business is sold, the buyer must keep the promises in this policy.
6. Cookies
We use one kind of cookie: the one that keeps you signed in. We do not use advertising or tracking cookies.
7. How long we keep it
- While the association uses the service, we keep its information so the site works.
- After the service ends, we keep the association's files for 60 days so the board can download them, then delete them. Backup copies are deleted within a further 30 days.
- Billing records are kept as long as tax law requires.
8. Security
We use encrypted connections, protected passwords and limited access to keep information safe. No system is perfect. If we learn of a breach that affects personal information, we will tell the association as quickly as we can and no later than 10 days after we find out, as Florida law requires (section 501.171(6)), and help it notify the people affected.
9. Your choices
- Owners: ask your association's board to update or remove your login or information. You can also email us and we will pass your request to the board.
- Associations: a board member can download everything, or ask us to delete the association's information, at any time.
- Anyone: email [email protected] with a privacy question.
10. Children
The service is for condominium associations and their owners. It is not intended for children under 13, and we do not knowingly collect their information.
11. Changes
If we change this policy in a way that matters, we will email associations' board contacts at least 30 days before the change takes effect and update the date at the top.
Condo Notice Board is a private company. It is not affiliated with, endorsed by or approved by the State of Florida or any other government agency.
